Plans and limits

Agoo has five plans. Prices are in Ghana cedis, per organisation, and exclude VAT. Paying annually gives you two months free.

Ghana VAT on software is 20% in total: 15% VAT, 2.5% NHIL and 2.5% GETFund. It's added to your invoice. For example, Pro on monthly billing:

LimitsCopy Anchor Link

A site is one location. Gates, lobbies and buildings at the same location count as one site. A kiosk or device is anything you pair in Console → Devices: a tablet or phone running the Kiosk app, or a computer's browser set up as a kiosk, which is on every plan.

Bookings a month count each attendee once, so a group session for 30 people is 30 bookings, as 30 one-to-one bookings would be. Staff booking a room for themselves don't count, and nor do queue tickets: a ticket that becomes a visit counts as a visitor, like any walk-in.

Active contacts are the people and companies in your contacts. Contacts Agoo makes for you from visits, bookings and messages are always added, even over the limit; the limit only holds adding contacts by hand, importing them, creating them through the API and adding them to lists. A contacts pack adds more on any plan. Contacts are planned.

WhatsApp messages cover Agoo's notices to your visitors and guests and your team's replies to them: each reply counts as one WhatsApp message (GH₵0.09) and a follow-up after 24 hours as five (GH₵0.45); see WhatsApp replies. On Free your organisation doesn't send on WhatsApp; you can read your visitors' conversations, and Agoo's team answers them. No plan sends WhatsApp broadcasts.

Your WhatsApp budget. Each paid plan starts with a monthly budget for WhatsApp replies beyond the messages it includes: GH₵100 on Starter, GH₵300 on Growth, GH₵1,000 on Pro and GH₵3,000 on Enterprise. Owners and Admins are alerted at 80% and when it's reached, and can choose to stop replies there. They change the budget or remove it at any time in Console → WhatsApp → Costs and budget. Video minutes are for Agoo Video, which is planned. They count each person's time in a call, so two people talking for 10 minutes use 20; a voice-only minute counts as a quarter. Live captions and private (end-to-end encrypted) meetings are on every plan, captions within your minutes.

Enterprise also includes a named success manager, a 99.9% uptime commitment set out in your order form, and a paid 30-day pilot that is credited in full.

Custom forms and visitor types. The six built-in visitor types and their forms never count towards your custom-forms limit, however much you change them. Each visitor type you add counts as one custom form (its visit form): Starter includes 3 and Growth 15; Pro and Enterprise have no limit. Free includes custom fields but no custom forms, so adding visitor types starts on Starter. The fields in the table are the questions on each form, built-in or added (Free 3, Starter 10; section headings don't count), and conditional questions come with Growth. Turning a type off frees its place; you don't need to delete it. See Forms and fields.

This table says which plan includes what. Some features are still being built, and each guide says whether its feature works now or is planned: for example, biometric attendance terminals are included on Pro and Enterprise and connect to Agoo when the terminal integration, which is planned, ships. Plain QR codes are unlimited on every plan, with no ads or watermark. Tracked codes, which can change where they go and count their scans, come from an allowance:

Design, print files, spreadsheets, controls and rules also depend on the plan. Tracked codes never stop working after a move to a lower plan or going over the allowance; only making new ones waits. See QR codes.

On any plan, these add-ons are priced a month each, excluding VAT, and follow your plan's billing (see Add-ons and packs):

Advanced QR gives Free and Starter Growth's QR design and controls. The Owner adds them in Console → Settings → Billing: you pay for the rest of the current period, then they renew with your plan. See Add-ons, top-ups and extras.

Guest and staff Wi-FiCopy Anchor Link

Off until you turn it on in Console → Settings → Wi-Fi. Visitors get your guest Wi-Fi while they're checked in, and staff get your Wi-Fi in the Agoo Workspace app. Guest Wi-Fi on the kiosk, the pass, Wallet, the welcome message, posters and at the desk, and staff Wi-Fi in the app on iPhone, iPad and Android, work now. Codes for each visit and Agoo Wi-Fi sign-in are planned:

Add-ons and packsCopy Anchor Link

Add-ons are priced a month, excluding VAT, and follow your plan's billing. On monthly billing they renew each month. On an annual plan, monthly add-ons renew with it for the year, at 10 months' price: the same two months free as the plan itself. Added in the middle of a period, you pay for the days left. Packs (SMS bundles, AI packs and video packs) are bought once from the wallet and can be used for 12 months.

The add-ons below for planned modules (Agoo Bot, Sales, contacts packs, People Plus, the HR storage pack, Agoo Payroll and video packs) can be bought once their module ships. The QR packs, Advanced QR, Advanced feedback, extra capacity, SMS bundles and AI packs can be bought now.

Agoo BotCopy Anchor Link

Agoo Bot acts for you in Agoo, with a confirm card before every change. It's an add-on for the whole organisation, from one shared pool of credits:

• Who can add it. Free can't. Starter can add Bot 1 or Bot 2; Growth and above any size.
• Try it first. Growth gets a taste of 200 credits a month and Pro 600 (the quick model, text only), and each gets one 30-day trial (500 credits on Growth, 1,500 on Pro). Enterprise gets a 60-day pilot with 10,000 credits.
• At the front desk. Agoo Bot on kiosks and visitor pages works on any plan with the add-on.
• After its credits. Agoo Bot uses AI credits from your wallet up to 150% of its included credits, then pauses until an Owner raises the limit.

Sales and contacts packsCopy Anchor Link

Sales is one price for the organisation, never per user. Payments on quotes and invoices go through your own Paystack account, and Agoo adds no fee.

Contacts packs add active contacts on any plan: 10,000 more for GH₵49 a month, or 50,000 more for GH₵149 a month.

People Plus and HR storageCopy Anchor Link

• People Plus brings Growth's talent, spend and hiring (performance, compensation, learning, staff surveys, expenses and travel, assets and hiring) to Free and Starter, at GH₵6 a month per active employee with an HR record, at least GH₵60 a month. Someone who leaves stops counting the month after. Growth and above include it. Calibration, pay bands and pay equity stay with Pro and Enterprise.
• HR storage pack: 50 GB more HR document storage for GH₵29 a month, on any plan. Course videos count against HR storage.

QR codes the HR modules make (asset tags, job and survey posters, certificates) don't count against your tracked codes.

Agoo PayrollCopy Anchor Link

Agoo Payroll is an add-on on Starter, Growth and Pro; Enterprise includes Payroll Plus. It's counted on employees paid in the month: those with a payslip in an approved payroll run. A month with no run costs nothing.

The bands are graduated: the first 50 employees are at the first price, the next 150 at the second and the rest at the third. For example, Coastline Consult paying 80 employees on Essentials pays 50 × GH₵10 plus 30 × GH₵7, GH₵710 for the month. Payroll Plus adds paying staff from your own Paystack account, journals for QuickBooks, Xero and Sage, several employers and the API. Paystack's transfer fees are between you and Paystack.

The pilot. Up to five organisations that run Agoo Payroll beside their current payroll get it free for three months, then pay the list price.

More video minutes for everyone in your calls, beyond your plan's:

Video packs are bought from the wallet in Console → Settings → Billing, never in the apps, and can be used for 12 months.

Recording, transcripts and AI notes use AI credits on Growth: 120 credits for a recorded hour of audio, or 360 with the video kept. Pro includes 3,000 recorded minutes a month and Enterprise 10,000 (a minute with the video kept counts as 3), then AI credits at the same rate.

AI packs and SMS bundlesCopy Anchor Link

AI packs: 250 credits for GH₵29, 1,000 for GH₵119, 5,000 for GH₵499 and 20,000 for GH₵1,690. SMS bundles from 1,000 for GH₵49. See Wallet and credits.

Extras on requestCopy Anchor Link

Some extras aren't part of any plan's price. They're provided on request, at a price agreed with your organisation:

• White-label mobile app (Pro and Enterprise): a mobile app published under your own name in the App Store and Google Play, from GH₵25,000 set-up plus GH₵1,500 a month. Planned.
• Agoo Wi-Fi sign-in for Growth: each visitor's and each member of staff's own Wi-Fi login (included on Pro and Enterprise). Priced when it's built. Planned.

To ask for one, the Owner selects Request in Console → Settings → Billing. We email you a copy, get in touch, and send a quote with the price for your organisation. An Owner accepts or declines it in Billing, and nothing is charged until then: see Quotes for extras.

The free trialCopy Anchor Link

New organisations can try Growth free for 14 days, with no card. We email the Owner three days before the trial ends and again on the day. When the trial ends, choose a plan in Billing. If you don't, your organisation moves to Free. Nothing is locked or deleted: your data is kept and you can upgrade at any time. Add-ons you buy during the trial are paid by the month from the day you add them: QR packs and Advanced QR carry on into Free and renew, and extra sites, kiosks and staff on attendance last until the end of the month you paid for.

When you reach a limitCopy Anchor Link

Console → Settings → Billing shows your usage against each limit.

• Messages and AI credits. When an allowance runs out, Agoo uses credits from your wallet.
• Sites, kiosks and staff on attendance. On Growth and Pro you can add capacity without changing plan; otherwise move up a plan.
• Visitors and bookings a month. If you regularly need more, move to a plan that fits. Visitors a month counts people, not visits: each visitor counts once in a calendar month, on their first visit, however often they come back. When the month's visitors are used, new visitors can't be invited until the next month or a plan change, but visitors already counted this month can, and nobody who is already on their way is turned back: check-ins are never blocked. A kiosk that was offline can't know the month's visitors are used, so a new visitor who walks in then is let in, kept and counted when the kiosk reconnects, and your usage may show a few over the limit. When the month's bookings are used, booking pages say your organisation can't take more bookings this month.
• Active contacts. Contacts Agoo makes for you from visits, bookings and messages never stop at the limit. Adding contacts by hand, importing them, creating them through the API and adding them to lists wait until you add a contacts pack or move up a plan.
• Video minutes. Add a video pack. Calls at the front door (reception, guards and hosts) carry on 10% past your minutes, and a call in progress is never cut off.
• Agoo Bot. After its included credits, it uses AI credits from your wallet up to 150% of them, then pauses until an Owner raises the limit.
• HR document storage. Add an HR storage pack or move up a plan.

Sector offersCopy Anchor Link

To get an offer, the Owner applies in Console → Settings → Billing, choosing the sector and attaching proof such as a registration certificate, which NGOs and community grants need (it's stored privately and only Agoo's platform owner sees it). We review it and email the Owner either way. An approved offer applies from your next invoice.

Only one discount applies at a time: one offer per organisation, and a coupon never combines with an offer. When both could apply, the larger discount wins.

Agoo for GoodCopy Anchor Link

Agoo is built by a not-for-profit foundation, and two offers are for organisations that serve the public:

• NGOs and charities get 40% off annual Starter, Growth or Pro, and on the add-ons Sales, People Plus and Agoo Payroll, and contacts and HR storage packs, while the plan is annual. Usage is never discounted: video packs, AI packs, Agoo Bot, SMS bundles and WhatsApp messages are full price, because most of it is what we pay others. Proof is required: your registration certificate.
• Community grants give a public school, clinic or community group the Community plan, free for a year. Apply from the Free plan with your registration certificate, or a letter from the authority you answer to (a district assembly, the Ghana Education Service or the Ghana Health Service), say what kind of place it is and about how many people it serves. Agoo gives a set number of new grants each year. You can apply at any time: once the year's grants have all been given, a place we've verified goes on our waiting list for a sponsor or the next grant, and Billing shows that it's waiting.

Verified each year. Both are verified once a year. From 60 days before the date in Billing → Offers, the Owner sends new proof there; we email a reminder 30 and 7 days before. When we accept it, the offer or grant carries on for another year. Without it, the NGO discount stops from your next invoice after that date, and a grant moves your organisation to Free, with all its data kept. If you've sent proof and we haven't answered by then, nothing changes for 10 more days.

You can end a grant at any time from Billing (you move to Free), or choose a paid plan: it starts the day you choose it, and the grant ends then. See Agoo for Good for who can apply.

A sponsored front doorCopy Anchor Link

A company, a church, an old students' group or one person can pay for your Community plan: this is sponsoring a front door. It's the same plan as a grant, paid for by the sponsor for a term, usually a year.

• How it starts. A sponsor names your school, clinic or group, or asks us to match them with a place on our waiting list. Either way we verify you first, so apply for a community grant from Billing with your proof. When the sponsor has paid, your Community plan starts that day and we email you who made it possible. You pay nothing, and no card is needed.
• What the sponsor gets. A receipt and, if they ask to be named, a certificate. They get no access to your organisation, your visitors or any of your data.
• Your front door, your choice. If your sponsor asked to be named, the Owner can switch on a small line, "Front door sponsored by…", on your kiosk's welcome screen and your visitor pages: the switch is beside your sponsor's name in Console → Settings → Billing. It's off until you switch it on, and you can switch it off whenever you like.
• When the term ends. We ask the sponsor about another term 60 days before. We still verify you once a year as above. If the sponsor stops and you still qualify, you stay on the waiting list for another sponsor or a grant.

Change planCopy Anchor Link

Owners change plan in Console → Settings → Billing, and see the price with VAT before they pay. Upgrading in the middle of a period, you choose between paying the difference for the days left (your renewal date stays the same) or starting a new period today with the unused days credited; both amounts are shown. See Changing plan.

If you cancel or move to a lower plan, your current plan continues to the end of the period you've paid for. When a cancelled plan ends, your organisation moves to Free and keeps its data. See Cancelling.

Moving to a lower plan never deletes dataCopy Anchor Link

Moving to a lower plan never deletes data by itself, whether you move to Free or to a cheaper paid plan, such as from Pro to Starter.

• History follows the new plan. Its visitor history decides what the console, exports and the API's lists show: 3 months on Free, 12 months on Starter, 24 months on Growth. Older records are kept, hidden, and come back when you move to a plan with a longer history.
• Your retention settings stay as they are. If a setting is longer than the new plan allows, it keeps working: it only ever deletes records older than the period you chose. The console shows that older records are hidden by your plan.
• Features above the new plan become read-only. What you made with them is kept.
• Your own domain stops being used for new links on Free. Messages and new links use your Agoo address, and anyone opening a link on your domain is sent to the same page there, so nothing already sent or printed breaks. See Use your own domain. Tracked codes made on your own short-link domain keep working on it below Pro; new ones use agoo.click.
• A full export still has everything. Exports from lists and reports follow the new plan's history, but a full organisation export, which Owners and Admins can request on any plan, includes hidden records. See Export your data.

Data is deleted only by your own retention settings, by an Owner's request to delete it, or when the organisation is deleted. See Retention and deletion.
