Getting started

The Agoo Workspace app

Sign in to Agoo on your iPhone, iPad or Android phone or tablet with your Console account, open it with your phone's own lock, get notifications you can answer from the lock screen, clock in and out, ask for leave, approve your team's leave, look after your visitors and bookings, run the front desk, send an emergency alert and look after your organisation on the move, even offline.

Early access· P5For everyone

Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.

Agoo Workspace is Agoo's app for everyone at your organisation: hosts, employees, receptionists, security leads, guards, auditors, site admins, Admins and Owners. It's called Agoo on your home screen. You sign in with the same Agoo account you use in the Console, and you see what your role allows there, no more and no less.

The app brings you sign-in, your day on Home, your time on Me (clocking in and out on your phone, your shifts, your leave, your timesheet, your badge, your kiosk PIN and your workplace Wi-Fi), your people on Team (who is in today, leave and timesheets to approve, the team calendar and deputies, for anyone with people reporting to them and for HR), your visitors and bookings on Hosting (approving, answering for a visit you're on or your team has, inviting, answering booking requests and setting your hours), the front desk and security on Desk (today's visitors, visitors who need someone, walk-ins, one inbox, who's on site and the emergency alert), your organisation on Manage (people, devices, reports, QR codes, quick switches, billing and activity, for whoever's role allows each) and your Account, with notifications you can answer from the lock screen.

Getting the app

Agoo Workspace runs on iPhone and iPad with iOS and iPadOS 26 or later, and on Android phones and tablets with Android 8 or later. The apps page has it.

Your invitation to Agoo links to that page. So do the emails Agoo sends you about your visitors, bookings and parcels, a change to your role and your scheduled reports, in a line at the end, until you've signed in to the app. In the Console, Get the apps is in your own menu.

  • On Android, download Agoo Workspace from the apps page and install it: your phone asks once to allow installing from your browser. It will move to Google Play later.
  • On iPhone and iPad, the app is on its way to the App Store. Until then, Agoo's team tells early-access organisations how to install it.

This page describes the app on iPhone and iPad. The Android app does the same things in the same places; On Android lists what looks or works differently there.

The app doesn't count towards your plan's kiosks and devices: it belongs to the person signed in, not to a site.

The first time you open it, a short intro shows what the app is for, in four scenes. Tap Skip at any time, or wait for Sign in at the end.

You can't create an account in the app. New people join from the invitation their organisation sends them (see Invite your team), then sign in here.

Sign in with Google or Microsoft

If your organisation allows it (every plan, see Single sign-on), Continue with Google and Continue with Microsoft are at the top of the sign-in screen.

  1. Tap the one your work account uses. Google's or Microsoft's own page opens in a sheet over the app. If you're already signed in to that account on your phone, it's offered straight away.
  2. Choose your account and sign in there.
  3. You come straight back to Agoo, signed in. If your account uses two-step verification, Agoo asks for your authenticator's code next, as it does after a password.

The first time, Agoo links your Google or Microsoft account to your Agoo account when the email addresses match and Google or Microsoft confirms the address is yours; Agoo emails you when it does. If the sheet closes without signing you in, nothing changes: choose again, or use your password or an email code.

If your organisation requires Google or Microsoft sign-in, a password or an email code alone doesn't open it: Home and Account show a card that says so, with Continue with Microsoft (or Google) to sign in the way it asks. As its Owner, your password and authenticator always open it.

Sign in with your password or a code

Type your email

Use the email address you sign in to the Console with.

Choose how to sign in

  • With your password. Tap the eye in the field to see what you've typed. Forgot your password? opens the Console's page to choose a new one.
  • With a code by email. Tap Email me a code. Agoo sends a 6-digit code to your address; type it in. If it doesn't arrive, Send a new code comes back after 30 seconds.

Two-step verification, if your account uses it

Owners and Admins always need it, and so does everyone when their organisation (or its group) turns it on. Open your authenticator app and type the 6-digit code for Agoo. If you've lost the phone that has your authenticator, tap Lost your phone? to start account recovery in the Console.

Setting up an authenticator on your phone

If your account needs two-step verification and you haven't set up an authenticator yet, the app does it with you on the same phone, so there's no code on another screen to scan.

  1. Tap Set up my authenticator.
  2. Tap Open my authenticator app. Your phone opens the app you use for codes (Apple's Passwords, Google Authenticator, Microsoft Authenticator, Authy and others) with Agoo ready to add. If nothing opens, tap Copy the key and paste it into the app yourself.
  3. Come back to Agoo and type the code the app shows.

From then on Agoo asks for a code from that app when you sign in, in the app and in the Console. Two-step verification explains authenticator apps and what to do when a code doesn't work.

Unlocking the app

Each time you open the app, it asks for Face ID, Touch ID or your phone's passcode (on Android, your fingerprint, face unlock or screen lock) before it shows anything. When you leave the app for more than 30 seconds, it locks again, so a quick switch to copy a code or read a message doesn't lock you out, but a phone left on a desk does.

Every 30 days, or after 14 days without opening the app, it asks you to sign in again (with your password, an email code, or Google or Microsoft, and your authenticator code if you use one), so a phone that's left unused doesn't stay signed in for ever. Your organisation may make this shorter. The lock screen has Sign out too, if you need to leave from there. Set a passcode on your phone in Settings → Face ID & Passcode: without one, the app can't lock, and what it keeps on the phone isn't protected as well.

Notifications

Agoo reaches you in the app first, the moment something needs you, and many notifications have buttons so you can answer from the lock screen. They're free on every plan.

Turning them on

Straight after you first sign in, the app shows the notifications you'd get for your role, such as "Ama Owusu is here" with I'm coming, and asks you to Turn on notifications. Then tap Allow when your phone asks.

You don't have to. Not now first says plainly what you'd miss on this phone for your role: for example, that you'd hear about visitors by text or email instead, which can take longer, that approvals and booking requests would wait until you open Agoo or your email, that there'd be no shift reminders, and that an emergency roll call wouldn't sound on this phone. Then choose Turn on notifications or Continue without them. The app asks again after two weeks.

If you tapped Don't Allow when your phone asked, Home shows a card, "Notifications are off on this phone", with Turn on in Settings. Close it for now and it comes back every two weeks while notifications are off.

What you get, and what you can do from them

To use a button, press and hold the notification (or swipe it left and tap View or Options). Your phone asks for Face ID, Touch ID or your passcode first, so nobody can answer for you from a locked phone on a desk.

  • Approve or Decline goes straight to Agoo. With no signal, the app keeps it and sends it when it's back online, as it does in the app.
  • I'm coming or Ask them to wait tells reception at once: the Desk shows "Host is on the way" or "Host asks them to wait 10 min" beside your visitor (the Console says "Host is on the way"), and the visit's timeline says you replied.
  • I'm safe marks you safe in the roll call straight away, as your "I'm safe" link does.
  • If an answer can't go through, a notification says so ("That didn't go through", or for I'm safe, to tell your marshal), and the app says why when you open it.

Tap a notification itself to open what it's about: the visit, the booking, the roll call, Me for a shift reminder or for a change a manager made to your time (it opens that day), Your shifts when your roster changed or about an open shift, a swap or a claim, Extra time when someone in your team needs your approval, the day on Me when your own extra time was decided, Team → Approvals for leave, timesheets, a swap or a claim waiting for you, Me → Leave for news about your own leave, Me → Timesheet for your own timesheet, Me → Wi-Fi when a Wi-Fi password changed, or Manage → Reviews for a new review (it opens the review) or a pause on your page. The alerts about a waiting visitor have no buttons on the lock screen: a visitor who needs someone opens on the Desk's Needs someone (on Hosting, if you're in the team and don't work the desk), and one you're asked to see opens with Will you see them?

If you belong to more than one organisation, a notification can be about one that isn't on your phone at the time. Tapping it shows which organisation it's for and offers Switch to that organisation, then opens what it's about; the app never switches on its own. I'm safe counts straight away whichever organisation you're on. Other buttons, such as Approve, need you to switch first: a notification tells you so, and tapping it takes you to the switch.

How Agoo decides

  • The app first, then your other ways. Each notification carries a receipt your phone sends back the moment it arrives. If it doesn't arrive in time (your phone is off or out of signal), Agoo sends the same alert by your next way, WhatsApp, SMS or email, as you and your organisation chose. If it did arrive, there's no text as well.
  • Quiet hours hold notifications as they hold texts, except roll calls, security holds and shift reminders, which always come through.
  • Emergencies break through Focus. Roll calls come as Time Sensitive notifications, so a Focus mode doesn't hide them.
  • Names on the lock screen. Notifications say who your visitor is unless your organisation has chosen to leave names out ("Your visitor is here"); you see the name when you open Agoo. To hide all previews on your phone, use iOS Settings → Notifications → Show Previews → When Unlocked.
  • Shift reminders come only to the app: by default 10 minutes before a shift you're rostered on if you haven't clocked in, and 30 minutes after it ends if you're still clocked in. Your organisation sets the times, and nobody on leave is reminded.
  • Roster changes come once each time your manager publishes the roster with something new or changed for you, however many shifts it touches, with their note if they added one. Without the app on a phone, the same news comes by email, with your next five shifts.
  • Open shifts you can take come only to the app, once each time a roster with open shifts is published. Offers, answers and decisions about swaps and claims come to the app, or by email if you don't have it.

Choosing what comes to the app

Account → Notifications in the app (or in the Console) lists your alerts. The app is on for each one until you turn it off; WhatsApp, SMS and email are your other ways, in your organisation's order. Shift reminders, A manager changed your time (a clock-in or clock-out a manager added for you, or a time they corrected, with their reason), and Agoo Reviews' A new review on your page and New reviews paused on your page have only The app. The five alerts about waiting visitors (a visitor needs someone, reception asks if you'll see a visitor, someone answered, someone took a waiting visitor, a visitor is booked in to see you) are listed with your visitors' alerts and don't use WhatsApp. Every alert has the same name and description as in the Console. The page also lists the phones and iPads that get your notifications (up to 10), with Remove for one you've lost or given away, and Send a test notification. See Your profile and notifications.

Home

Home greets you by name, with your organisation and role, and shows your day:

SectionWhat it shows
Your visitorsWho's in the building now, who's waiting for your approval (marked Needs you) and who's expected today
Bookings todayYour bookings for the day
Waiting at receptionParcels waiting for you or your teams. Tap it for Your parcels: each one's collection code, what it is, who it's from and where it's kept

Tap a visitor or a booking to open its page, the same one as on Hosting. A visit held for a security review shows Held for security.

Your parcels shows the collection code large, with a copy button and Show this at reception; a parcel for a team says who it's for ("For Finance"). The code is only ever yours and your team's: reception never sees it. See Deliveries.

If your organisation keeps your time, Home also has a small clock card: whether you're in, and a Clock in or Clock out button (see Me: your time).

Agoo's own notices appear at the top: a maintenance window, or something your organisation needs to act on, as in the Console. When nothing is happening, Home says A quiet day so far.

If notifications are off on this phone, a card says so, with Turn on in Settings (see Notifications).

If an emergency alert is running at one of your sites and your role sees roll calls, a red banner comes first on Home: "Emergency at Ridge HQ", with how many people are safe so far. Tap it to open the roll call.

Pull down to refresh. A small pill shows whether the app is online, syncing or offline. On an iPhone, Home is one column with tabs along the bottom; on an iPad, it's a grid, and the tabs can open as a sidebar.

Me: your time

If your organisation keeps your time with Agoo, the app has a Me tab, called Your time. Everyone whose time is kept gets it, whatever their role: employees, hosts, receptionists, security leads, guards, site admins, Admins and Owners. It shows only your own time.

Clock in or out on your phone

Your organisation chooses, site by site, how you can clock in from your phone, in Console → Settings. The app offers the ways that are on at your site:

  • At the site. The app checks once, when you tap Clock in, that you're inside the site's area, or on one of its Wi-Fi networks when your organisation uses the Wi-Fi check. A map shows the site's area and where your phone is.
  • The kiosk's code. On the kiosk, tap Clock in or Clock out. Under Using the Agoo app? it shows a code that changes every 30 seconds. Scan it with the app.

Tap Clock in or Clock out

On Me, or on the clock card on Home. If you work at more than one site, pick the one you're at.

Where your organisation has break punches on, the card also offers Start break while you're in and End break while you're on one, first, with Nursing break if HR has switched your nursing hour on. A break works like a clock-in: the same check that you're at the site, and offline too. While you're clocked in, your iPhone's lock screen and Dynamic Island, or a notification on Android, show your time, and On break · 12 min while you're on one.

Read your organisation's notices, the first time

Before the app uses your location or takes a selfie, it shows your organisation's notice for each (see Notices and your privacy).

Let the app check where you are, or scan the kiosk's code

The first time, your phone asks whether Agoo may use your location: choose Allow While Using App, with Precise on. Inside the site's area, or on its Wi-Fi, the app says You're at the site. If you're not, it says roughly how far away you are and offers Scan the kiosk's code or Check again. Indoors, step near a window before you check again.

Take a selfie, if your organisation asks

The front camera counts down 3, 2, 1. Tap Use this selfie, or Take another. When the selfie is optional, Skip the selfie clocks you in without one.

Done

The app shows the time you clocked in or out, and the punch appears under Today.

The app uses your location only while the clock-in screen is open, and never follows you in the background. If your organisation keeps the coordinates of clock-ins, they're sent with the punch; otherwise only whether you were inside the site's area leaves the phone.

No signal

Clock in anyway. The app saves the punch on the phone with the time you made it, shows it at once as Sending, and sends it to Agoo when you're back online, at the time you clocked in.

Agoo checks every punch again when it arrives. If it can't record one (for example, your organisation switched that way of clocking in off in the meantime), the punch shows Not recorded with the reason. Tell your manager the right time: they add it in the Console, and you're told here when they do.

A punch can carry a flag: Sending (still on your phone), Not recorded, In review (your manager is checking it), late with the minutes, Voided, Corrected (your manager replaced its time; the new punch is beside it) or Offline (made with no signal). A punch your manager added says Added by and their name, with their reason. If you clocked in more than 18 hours ago and haven't clocked out, Me asks you to tell your manager the time you left.

Your shifts

Once your manager publishes the roster, Your shifts on Me lists your shifts for this month and next, day by day: the site, the times, the shift's label (such as "Ward 3"), its break and any note your manager added for you.

  • New and changed shifts are highlighted until you've seen them, and a shift your manager removed stays listed as removed while it's still to come, so you know it's gone.
  • A day with no shift on the roster is a rest day. On days the roster doesn't cover, your weekly shift shows, as before.
  • It works offline: the app keeps your shifts on the phone, so you can check tomorrow's start time with no signal.
  • You see only your own published shifts, never a draft your manager is still working on.

The Next shift widget. Add Agoo's Next shift widget to your Home Screen (on iPhone and iPad, touch and hold the Home Screen, then tap Edit and Add Widget; on Android, touch and hold the home screen and choose Widgets) to see your next shift, its time and site without opening the app.

Open shifts. Where your organisation lets staff claim them, Open shifts lists the shifts at your sites that nobody has yet and you can take, up to eight weeks ahead, with how many people have asked. Tap one, then Ask for this shift, with a note if you like. Your manager approves it, or, if your organisation gives an open shift to the first person to claim it, it's yours at once. If you can't take one, it says why, such as another shift at the same time. You can withdraw a claim while it waits.

Swaps. Can't make a shift? Tap Offer a swap, choose the shift and offer it to a colleague at the site, chosen from a list that shows who can take it, or to anyone who can. Offering it to one person, you can ask for one of their shifts in the next four weeks in return. Offers to you shows shifts colleagues offer you: Take the shift, or Say no to one offered to you by name. Once someone takes your shift, a manager approves the swap, unless your organisation doesn't need them to, and the shift moves to them; you're both told. Withdraw your offer any time until it's decided.

Before you take a shift, the app warns you if it would leave you under 12 hours' rest between working days, without 48 hours off in seven days, or over your weekly hours, as the Labour Act sets out.

Your swaps and claims lists each with where it stands, such as waiting for Kwame Mensah's approval, approved, or given to someone else, until 30 days after they're decided. Claiming, offering and answering need a connection; with no signal, the app shows the open shifts and offers it last had, and says so.

Your shifts are planned in the Console; the app shows them. See Rosters.

Extra time, for managers

If people report to you, or you manage attendance at a site, the app tells you when someone worked past their hours and it needs your approval: "Ama Mensah worked 1 h 20 min past her shift at Main Campus on Mon 12 Oct". Tap it to open Extra time, which lists what's waiting for you, oldest first, with what's been decided below. Open a day to see the shift, the clock-in and clock-out and the time past the day's hours, then:

  • Approve to count it all;
  • Approve part to count the minutes you choose;
  • Decline, with a reason the person sees.

It's the same list as Overtime in the Console, and deciding needs a connection. Nobody decides their own extra time, except Owners. See Shifts and overtime.

Leave

Leave on Me has a card for each kind of leave your organisation gives you: what's left this leave year, with what you're entitled to, carried over, taken, booked and waiting for approval. Below are your requests, newest first, each with where it stands and who it's waiting with ("Waiting for Kwame Mensah", then "Waiting for HR").

To ask for leave, tap Ask for leave:

  1. Choose the kind of leave and the days. For a half day, choose the morning or the afternoon, where your organisation allows it.
  2. Check what it counts. As you choose, the app shows the days it uses (public holidays, your organisation's closed days and days you don't work aren't counted), your balance before and after, any public holidays inside it, your shifts on those days and who will approve it. If something's wrong, such as more days than you have left, it says so and won't send it.
  3. Add a note and a certificate, if you like. Take a photo of a certificate with the camera or choose a PDF or photo from your files. Only you and HR can open it, never your manager.
  4. Send. Whoever approves it is told at once. Sick leave, and other kinds your organisation records rather than approves, are approved straight away.

You're told when your leave is approved or declined, with the reason if it's declined. Tap a request to see each step and who decided it, to add a certificate later, or to Cancel it while it's waiting or before it starts: the days come back to your balance and your approvers are told. Leave that has started can only be ended early by HR.

Asking for leave and cancelling need a connection. With no signal, Leave shows what the app last had, with when ("Updated 10:42"). See Leave.

Timesheet

Timesheet on Me shows your timesheet for this period and where it stands: "Open until Sun 31 Oct" while the period runs, "Confirm your timesheet for September by Wed 2 Oct" when your organisation asks you to check it, "With Kwame Mensah for approval", then "Approved and locked". Tap it to see the period's totals (time worked, regular time, overtime, extra time waiting, leave, absences and breaks), every day, the approval steps and who decided each one, and the history. Your past periods are below.

If your organisation asks you to confirm your own timesheet, you're told when the period ends. Check your days, then tap Confirm my timesheet, with a note for your manager if something's wrong, such as a missed clock-out. You have two days unless your organisation chose otherwise; after that it goes for approval without your confirmation. If an approver sends it back to you, you're told with their note, and you confirm it again.

You're told if an approved timesheet of yours is reopened, with the reason. Confirming needs a connection; with no signal, Timesheet shows where it stood when the app last synced. See Timesheets and payroll.

Notices and your privacy

Location and selfies are your organisation's decision, and it tells you about each before the app uses it. The first time you clock in with one, the app shows the notice:

  • When your organisation requires it, tap I've read this. That records that you were told; it isn't a choice, so it can't be withdrawn in the app. Questions about it go to your organisation.
  • When your organisation asks for your agreement, tap I agree or Not now. Without your agreement, the app doesn't use your location or take a selfie, and you can clock in at the kiosk instead.

In Me → Clock-in privacy you can read each notice again, see what you answered and when, and Withdraw my agreement at any time. Agoo stops taking it from your next clock-in; what was taken before stays until your organisation's retention clears it. See Evidence and notices.

Your badge, on your phone

When the kiosks at your site take Badge on their phone, Me has a Badge card: your staff badge, shown by the app, so you don't need a printed one.

  1. Tap Set up my badge on this phone, once, with a connection. The app makes a key for your badge and keeps it in the phone's security chip; it never leaves the phone.
  2. At the kiosk, tap Show my badge and hold your phone up to the kiosk's camera. The screen shows your name and a code that changes every 30 seconds, with a ring counting down to the next one, and turns the brightness up while it's open.

It works without data, on the phone and at the kiosk. A photo or screenshot of the code stops working within a minute, and each code counts once, so nobody can clock in for you with it.

You can have your badge on up to three phones. Setting it up on a fourth replaces the oldest. Under Also on, the card lists your other phones: Remove one you've lost or no longer use, and kiosks stop accepting it once they next sync. Signing out removes the badge from that phone; your organisation's admins can also remove one in the Console.

Your kiosk PIN

When the kiosks at your site take a PIN, Me has a Kiosk PIN card. Tap Set a PIN, or Change my PIN if you have one. Choose 4 to 8 digits: not all the same digit, not a run like 1234, and not a common PIN. Type it twice (the eye in the field shows what you've typed for both) and tap Save PIN. Kiosks have the new PIN, and stop taking the old one, at their next sync. Setting a PIN needs a connection.

At the kiosk, tap Use your PIN, find your name and type it. Your manager can still set or reset your PIN in the Console.

Wi-Fi

If your organisation shares its Wi-Fi with staff, Me has a Wi-Fi card with the networks shared with you. (If your time isn't kept with Agoo, the card is on a Me tab of its own on iPhone and iPad, and in Account on Android.) Tap it for Your networks, by site: staff networks first, then your sites' guest networks marked Guest. On an iPad or a tablet, the list and the network you chose sit side by side.

  • Join (with the network's name) saves it on your phone in one tap. Your phone asks you to confirm, then joins it by itself whenever it's in range. On Android 11 and later the phone's own Save network screen opens; on Android 10, allow it from the notification.
  • Enterprise networks: Sign in and join, with your own username and password for the network (the eye in the field shows what you typed). Agoo never keeps them: your phone saves them with the network.
  • Show password, where your organisation allows it, asks for your phone's own unlock, then shows the password for 30 seconds, with Copy. Your organisation can see when you look at it. Join only networks join without ever showing it.
  • Passwords stay in your phone's secure storage, so joining and showing work offline once the app has fetched them.
  • The password changed: you're told by a notification, and the network says Update it on this phone. Tap it so your phone keeps connecting.

A network that's no longer shared with you, and every network when you sign out, is forgotten by the app, and the networks it saved are removed where your phone allows it.

My record

My record shows everything your organisation keeps about you: your details, your job and its history, your contacts, your statutory numbers and the accounts you're paid into, numbers as their last four only. Change what HR allows, ask HR to correct your legal name, date of birth or a number, and change where you're paid after your phone's own unlock and a code. You're told every time your pay account changes, with This wasn't me if it wasn't you. See My record in Agoo Workspace.

Team: your people

Team is for anyone with people reporting to them, anyone who covers approvals for someone, and HR. Its tab appears when you have one of these. Today and the calendar show only the people who report to you, directly or further down; Approvals shows what's waiting for you, including what's waiting for HR if you're HR.

PartWhat it shows
TodayWho is in, not in yet, on a break, absent or on leave today, with their shift
ApprovalsWaiting: leave, timesheets, shift swaps and claims for open shifts waiting for you. Each says why it's yours: your own person, covering for someone, moved up to you after waiting, or as HR. Decided: what you decided in the last 30 days
CalendarA month of your team's approved and waiting leave, with public holidays and closed days marked
CoverApprovals while you're away: who covers for you, and whose approvals you're covering

Approve with a swipe. Swipe a request right to approve it, or left to decline it, or tap it to see the days, the balance before and after, who else in your team is away then and the shifts it covers. Decline asks for a reason, which the person sees; maternity and sick leave can't be declined. If someone else decided it first, the app says so and refreshes. The phone confirms each one with a light tap.

Timesheets wait here beside leave when a period ends, each with the person's totals and what's left to fix. Swipe right to approve one; if something's left, such as a missing clock-out or extra time to decide, the app says what instead. Send back asks for a note, and the timesheet goes back to the person or the first approver. Approving the last step locks it. See Timesheets and payroll.

Swaps and claims wait here beside leave, on Growth and above: a swap shows both people and the shifts changing hands, a claim the person and the open shift, each with any warnings from the Labour Act's rest rules. Swipe to approve or decline them in the same way; declining asks for a reason both people see. See Rosters.

Private kinds of leave, such as sick or maternity leave, show as Away to managers here and everywhere else: you see the dates and the days, never the kind or the balance. HR sees what it is.

Name someone to cover for the days you're away: in Cover, tap Name someone, choose who covers and the first and last day (a year at most), and add a note for them if you like. While the dates run, they can decide what's waiting for you, and they're told when you name them. Tap End to stop early: what's waiting comes back to you at once. HR can name cover for anyone. If you're on approved leave and haven't named one, your requests go to your own manager, then HR, until you're back.

Deciding and naming a deputy need a connection. On an iPad or an Android tablet, the list and the request you open sit side by side. See Leave and Line managers and HR.

Hosting: your visitors and bookings

If people visit you, or book time with you, the app has a Hosting tab, whatever your role. Your visitors are there when Receives visitors is on for you (see Invite your team) and your role lets you see visits; your bookings, when your role lets you see bookings. That's the Console's rule, so Hosting is there for hosts and for receptionists, security leads, site admins, Admins and Owners who receive visitors or take bookings themselves. Hosting shows your own visitors and bookings: the visits you lead, the visits you're on with someone else leading, and the visits your team has while nobody has taken them (see Who a visit is for). The front desk's list for a whole site is on Desk.

A number on the tab counts what's waiting for you: visits to approve and booking requests to answer. On an iPhone, a visit or a booking opens on its own screen; on an iPad, it opens beside the list.

Your visitors

SectionWhat it shows
Invite a visitorInvite someone ahead of time (see Invite a visitor)
Needs someoneOnly if you receive visitors without working the Desk, such as the person named to receive them or a member of a team that receives for an office: visitors waiting for someone, with the front desk's choices (see Needs someone)
Will you see them?Visits the front desk asks you about, or that wait for your team (see Will you see them?)
Waiting for youVisits waiting for your approval, with Approve and Decline on each one
Waiting for an answerVisits you're on where only the lead decides, or that are held for security: no buttons
Here nowYour visitors who are in the building, with the time they arrived ("In since 10:02 AM")
Expected today, Tomorrow, then datesWho's coming, day by day
Past visitorsEveryone you've hosted, month by month. Show more loads older ones. Needs a connection

Everything but past visitors is kept on the phone, so it's there with no signal and changes by itself as visitors arrive and leave.

Each visit says who it's for and your part in it: you lead it, you're one of its hosts, the front desk asked you, you're receiving the visitor, or it's with your team and waiting for one of you to take it. The other people on the visit are named beside yours.

On the Free plan, where inviting isn't included, the app says that inviting visitors is part of Starter and above and that your organisation's Owner or an Admin can change the plan. You can still approve and decline.

Approve or decline, even offline

Tap Approve or Decline on the visit, under Waiting for you or on its page. When the visitor is already at reception, the button says Approve and check in. Approving a request to visit before the visitor arrives makes the visit expected and sends them their pass.

Decline asks for a reason, if you'd like to give one. Only staff see it; the visitor is told the visit can't go ahead.

No signal? Answer anyway. The app keeps your answer on the phone, shows the visit as Approved or Declined with a small sending sign, and sends it to Agoo as soon as it's back online. If Agoo can't accept it, for example because reception answered first, the visit shows why, and you can answer again.

Will you see them?

When the front desk asks you to see a visitor, or a visitor is waiting for your team, the visit shows Will you see them? in place of Approve and Decline, so there's one way to answer:

AnswerWhat happens
I'll see themYou become their host. A visitor who is waiting is let in.
Ask them to waitChoose 5, 10, 15 or 30 minutes. Reception tells the visitor, and you let them in when you're ready.
Not todayThe front desk is told, and can book the visitor in for another time or ask someone else.
I won't see themIt goes back to the front desk, to pass on or turn away, with a note for them if you like. The visitor keeps waiting until the desk decides.

Another host on the visit, or the person receiving the visitor, gets the same four answers when they may answer. Where only the lead decides, you see the visit and who's on it without the buttons, and a line says the lead answers.

Answering needs a connection. The visitor is standing at the desk and the first answer counts, so the app sends yours at once, and if a colleague answered first, it says so plainly. With no signal, the app says you're offline. Approving or declining a visit you lead still works offline, as above.

Held for security

A visit that's held for a security review shows Held for security, with no buttons. Your security team decides, and the visit shows what they decided. If you open the app with no signal, it may not know yet that a visit is held: Agoo doesn't accept an approval for a held visit, and the visit tells you so. See Watchlist.

A visit's page

Tap any visitor to see their visit: who they are, their company and visitor type, and where the visit stands.

PartWhat it has
Approve and DeclineFirst, while the visit waits for you. Will you see them? takes their place when you're asked, or the visit is with your team
Who it's forYour part on the visit and the others on it, or the team it's with
Asked for another timeWhen the visitor asked for a different time from their pass: Move it or Keep the time. Either way, they're told
When and whereThe day and time at the site's time zone ("From 10:00 AM" when there's no leaving time), the site and gate, when they checked in and out, and if they're running late
What it's aboutWhat the visit is for
VehicleThe plate they're coming in, and when it came in and went out at the gate if you can see the vehicle register
Get in touchCall, WhatsApp and Email, with your phone's own apps
InvitationWhen their invitation was last sent, and how. Their pass page has their QR code, and Add to Apple Wallet and Google Wallet once the visit is confirmed
What's happenedThe visit's timeline, in the same words as the Console

And, as your role allows:

  • Let reception know, when your visitor is here: I'm coming, or Ask them to wait about 5, 10, 15 or 30 minutes. Reception sees it beside your visitor, and the page says what reception was told. The same buttons are on the arrival notification.
  • Check (name) in when you meet your visitor at reception, and Check (name) out when you walk them to the door. Their visit records you did it, and the on-site list stays right. With no signal, the app keeps it and sends it when it's back online.
  • Change the time. The visitor is sent the new details.
  • Send invitation, or Send again: by SMS, email or both.
  • Cancel visit. Add a reason for staff if you like, and leave Tell (name) the visit is cancelled on unless you've told them yourself.
  • Give Wi-Fi, on a checked-in visit, if your organisation shares its guest Wi-Fi and your role can give it at the desk. The Guest Wi-Fi card says how it was given so far ("Given at the kiosk, 09:12"); Give Wi-Fi shows the code full screen for the visitor's phone camera, with the network name and password and Copy the password. It needs a connection, and isn't offered while a visit is held for security.

A visitor's pass link goes only to them, so you can't open or forward it from the app. If they've lost it, use Send again.

Invite a visitor

Inviting needs a connection, and is included on Starter and above. The sheet asks who the visit is for, as the Console does: People (one person or several; the first leads, and any of them can be made the lead) or A team. If you're inviting your own visitor, you stay on the visit as its lead, and can add colleagues or choose a team you're in. If your role checks visitors in for anyone, as reception and security do, you can invite for any host, several hosts or a team, who are told and approve the visitor if your rules ask, or choose No one in particular, and reception receives them on the day. To change a pass's rules for one visit, use the Console.

Who's coming

Tap Choose from your contacts to pick them from your phone's contacts. Agoo never asks for access to your address book and sees only the person you choose. Or type their name, company, mobile number (024 123 4567 works for a Ghana number) and email.

The visit

Choose the visitor type, the site (if you work at more than one), the day, the time they arrive and, if you like, when they leave. For someone who comes on several days, such as a contractor or an auditor, turn on Over several days and choose the last day: one pass admits them each day, for up to 92 days, on Starter and above (see Multi-day passes). Add what it's about and, if they're coming by car, Their vehicle: the plate, so the gate knows the car as it arrives (see Vehicles at the gate).

The invitation

Under Send them an invitation, choose By SMS, By email or both. They get the day, time, place and who they're seeing, and their pass, with its QR code and Add to Apple Wallet or Google Wallet. With no mobile number or email, the visit is saved without an invitation.

Their answers

Answer the visitor type's questions you know now: text, phone numbers, emails, choices, yes or no, dates and numbers. Required questions left empty are asked when they check in, and photos, files, signatures and ID are taken on arrival. The pass follows the visitor type's rules.

Send

Tap Send. The app confirms who's invited, and Invite someone else starts again.

If you're interrupted, what you've typed is kept on this phone for 7 days and comes back with a note the next time you open Invite a visitor; Start again clears it. Answers your organisation protects are never kept, and the draft is deleted when you sign out or switch organisation (see Unsaved work and drafts).

Your bookings

Under your visitors, Hosting has two tiles, Your hours and Booking pages, then:

SectionWhat it shows
RequestsBookings waiting for you to confirm, with Confirm and Decline on each one
Upcoming, by dayYour confirmed bookings still to come
Past bookingsYour bookings before now, newest first (the last 100), with no-shows and those that didn't go ahead marked. Needs a connection

Tap a booking to open it:

  • When: the day, time and length, in its time zone.
  • Where: In person at the site, a Video call (with Join, and Share for the link; when Agoo makes a Google Meet, Microsoft Teams or Zoom link for it, the booking says which, or that the link is still being made), a Phone call, or Somewhere else with the address.
  • Get in touch: Call, WhatsApp and Email.
  • For a request, when to answer by: "or it lapses and the time is freed".

And what you can do with it:

ActionWhat happens
ConfirmThe booking is fixed and they're told
DeclineA reason if you like, and Tell them why if they should see it. The time is freed
MovePick another free time for the same booking type, a day at a time. They're sent the new time
Add meeting link or Change meeting linkFor video calls: paste the full link, starting with https://. They're sent it
Mark no-showOnce it has started, if they didn't come
Cancel bookingA reason if you like, and whether to tell them

Answering a booking needs a connection. With no signal, Hosting shows the bookings the phone has.

Your hours

Your hours is the same as Console → Bookings → Availability (see Availability and closed days):

  • Each week: switch on the days you take bookings and set their hours. Add a second range for a break, and swipe one to remove it.
  • Dates that differ: a day you're away (Unavailable all day) or Special hours on one date.
  • Meeting link and time zone: your own video link, used on booking types that don't have their own, and the time zone your hours are in.

Tap Save to save them together: "Availability saved. Booking pages show the new times now." Until you set your own hours, you can be booked in your site's opening hours.

Booking pages

Booking pages lists the booking types you take, with whether each is taking bookings, whether it's By link only (not listed on your organisation's booking page) or Staff only, and whether you confirm each one. For each page:

  • Share opens your phone's share sheet with its link, and Copy copies it.
  • QR code shows the page's tracked QR code full screen, for someone to scan from your phone, if your role can see QR codes. Its scans are counted with your QR codes. To print it in your brand's style, download it from the Console.

To change a page's times, questions or look, use the Console (see Booking types). A page for bookings made by staff has no public link to share.

Desk: visitors, inbox and safety

If you work the front desk or look after security, the app has a Desk tab: receptionists, guards, security leads, site admins, Admins and Owners get it, by the same permissions as the Console. It shows the sites you work at; if your role is limited to particular sites, only those of them. If it has nothing to show, ask an admin to add you to your site in Console → People.

At the top, Desk says how many people are on site and how many are expected today ("12 on site · 5 expected today"). If you work at more than one site, choose one at the top right, or All sites. Below, the Desk has up to four parts, each shown to the roles that use it: Visitors, Parcels, Inbox and Safety. A number on the tab counts what's waiting in the inbox, and any roll call running.

On an iPhone, a visit or a roll call opens on its own screen; on an iPad, it opens beside the list.

Visitors

SectionWhat it shows
Register a walk-inCheck in someone who's just arrived (see Register a walk-in)
Scan a passScan a visitor's QR pass with the camera, on their phone or printed: their visit opens, ready to check them in. Needs a connection
Needs someoneFirst, with its count: visitors waiting for someone to take them, longest waiting first (see Needs someone)
Waiting for approvalVisits waiting for their host, with Approve and Decline on each one, if your role approves visits for hosts
Held for securityVisits a watchlist match is holding. Security decides (see Holds)
Inside nowEveryone checked in, with who they're seeing and since when, and Check out on each one
Today, then the coming daysWho's expected, day by day for the next week, with Check in on today's
Visitor historyEvery visit at your sites, month by month. Show more loads older ones. Needs a connection

Everything but the history and scanning is kept on the phone, so it's there with no signal and changes by itself as people arrive and leave. When a host answers their arrival notification, their visitor's row says so: Host is on the way, or Host asks them to wait 10 min.

Check in, Check out, Approve and Decline work with no signal too. The visit shows your change at once, with a small sending sign, and the app sends it to Agoo as soon as it's back online, at the time you made it. If Agoo can't accept it (for example, a guard checked the visitor out first), the row shows Not done: tap it to see why.

Tap a visitor to open their visit's page, the same as on Hosting, with Check (name) in or Check (name) out, and Approve for the host when the visit waits for them ("You can approve for them").

Needs someone

A visitor with no one in particular to see, one who came for a team nobody in it has taken yet, and one who asked for someone whose visitors go through their office wait here, as they do in Console → Visitors → Needs someone. Whoever receives the visitor sees them: the front desk at their sites, the person named, and the members of the team that has the visit. With the Desk, you work on them there; if you receive visitors without the Desk, the same list and choices are at the top of Hosting.

The list is kept on the phone, so it's there with no signal. Its count changes by itself, and shows on Visitors and on the Desk's tab too. Open a visit to act on it:

ChoiceWhat happens
Ask someoneAsk a person, who gets a message and answers from it, or pass the visit to a team, whose members are told.
Write down an answerYou phoned them instead. Choose whose answer it is and what they said; the record keeps both names.
Take it myselfTheir business is done at the desk. The app asks you to confirm, then you become their host.
Hand overPass the visitor to reception, a person or a team to receive them in your place.
Book in for another timeChoose a day, a time and who they'll see, and whether to send them their pass. A new invitation is made, and this visit shows Booked in for another time with a link to the new one.
Turn awayNobody can see them. Give a reason if you like, which only staff see; the visitor is told politely.

Asking, writing down an answer, taking the visit, handing it over and booking in need a connection: each one tells people and changes who has the visit, and what Agoo answers is what you tell the visitor. With no signal, the app says you're offline. Turn away works like Decline: with no signal, the app keeps it and sends it when it's back online.

Approve and Decline don't show on a visit that needs someone, so there's one way to answer it. What each choice does, and what the person asked can answer, is in Who a visit is for.

Register a walk-in

Who they are

Tap Register a walk-in. Tap Choose from your contacts, or type their name, mobile number (024 123 4567 works for a Ghana number), company and email. The mobile number is for their pass and messages.

The visit

Say who they're here to see: People (search by name, and add one person or several; the first leads), A team, or No one in particular, when reception receives them. Choose the visitor type and, if you work at more than one site, the site. Add what it's about if it helps.

Their answers

Answer the visitor type's questions you can. Anything left out is asked at the kiosk or on their pass.

Check them in

Tap Check them in. Agoo checks the watchlist and your site's rules, then says what happened:

  • (name) is checked in. Their host has been told they're here.
  • Waiting for their host. The host has been asked to approve; you'll see the answer on the Desk.
  • Held for security. Security has been told. Ask the visitor to wait while they decide.

A walk-in for a team, for no one in particular, or for someone whose visitors go through their office joins Needs someone.

Open the visit shows their visit, and Done goes back to the Desk.

Registering a walk-in needs a connection, because the watchlist and your rules are checked on Agoo. With no signal, the app says so: send the visitor to the kiosk, which checks them in offline.

Parcels

Parcels waiting at your sites, with food and the oldest first, and a search. Tap Log a parcel to photograph the label: the app reads it on the phone and suggests who it's for (and, if your organisation has turned on reading labels with Agoo AI, the AI's suggestions too), then choose who it's for, what it is and where it's kept. Open a parcel for its photos and story, Remind now, Change who it's for, Mark it collected (their code, a signature, or with a reason, as your organisation allows) and Send back or Refused. Logging and handing over work with no signal; Remind now needs a connection. See Deliveries.

Inbox

One list of what's waiting for someone at your organisation to answer. Each part shows only if your role answers it.

SectionWho sees itWhat you can do
Visitors to approvePeople who approve visits for hostsApprove or Decline, offline too. The host and visitor are told; your reason stays with staff
Watchlist holdsPeople who can see the watchlistOpen the visit and decide (see Holds)
Booking requestsPeople who manage everyone's bookingsEvery booking at your organisation waiting to be confirmed: Confirm, or Decline with a reason if you like
Clock-ins to reviewPeople who manage attendanceClock-ins made another way after a failed face match: Accept, or Reject to void the punch

Visitors to approve are kept on the phone. Holds, booking requests and clock-ins to review come from Agoo, so answering them needs a connection.

Watchlist holds

A visit held by a watchlist match shows Held for security to everyone. If your role decides holds, open it from Inbox → Watchlist holds (or Safety → Watchlist holds): the list shows whether they're here or not arrived yet, and which entry they matched and on what (name, phone, ID number or company). On the visit:

  • Let them in. Say why, in a few words, for example "a different person: different phone number and company". It's kept in the audit trail. The visit carries on under your site's rules, so their host may still have to approve them.
  • Deny entry. Say why. The visit ends, and if they're inside, they're checked out. Your reason stays with security.

Deciding needs a connection. See Watchlist.

Safety

PartWhat it shows
Emergency alertA red button: tell everyone on site to get out, and see who's safe (see Send an emergency alert)
Watchlist holdsFor people who decide holds
On site nowHow many people are at the site, then Visitors and contractors (checked in) and Staff clocked in, with their names and since when

The on-site list is kept on the phone, so it's there in a power or network cut: offline, it says it's the list as it was when the phone last synced. That's the evacuation list to take with you.

Emergency alerts and roll call are included on Starter and above. On Free, Safety says so, and still shows who's on site.

Send an emergency alert

Owners, Admins, Site admins and Security leads can always send one. Receptionists and guards can too, unless your organisation has switched that off in Console → Settings → Security (see Roll call).

Tap Emergency alert

On Safety. If a roll call is already running at your site, its banner is there instead: open it.

Choose the site and the message

Choose the site, if you work at more than one. Edit the message people will read, or tap one of the ready-made ones, such as "Fire alarm. Leave the building by the nearest exit and go to the assembly point." Keep it short: up to 300 characters, and it may go by SMS.

If you run roll calls, you can turn on This is a drill: it works the same way, and the record says drill.

Hold to send

Press and hold Hold to send the alert for two seconds, until the ring fills. Let go early and nothing is sent.

Everyone on the site's list (visitors checked in and staff clocked in) gets your message with an I'm safe link, by SMS or email. Staff with the app get it there first, as an emergency notification with I'm safe on it, and a text follows if it hasn't reached their phone within a minute. Every desk and the Console show the alert at once, and the roll call opens on your phone.

Sending needs a connection, because the messages go from Agoo. With no signal, the sheet says so: raise the alarm on site the way you always would, and use the on-site list on your phone.

A roll call in progress

While a roll call runs, a red banner sits at the top of Home and the Desk ("Emergency at Ridge HQ", how many are safe and how many aren't yet), Safety comes forward, and the Desk's tab shows a beacon. Tap the banner to open the roll call:

  • a ring with how many are safe ("41 of 57 safe"), Emergency or Drill, the site, when it started and the message;
  • Not yet safe, Safe and All: each person, marked Visitor or Staff, and whether they said they're safe from their link or were marked safe;
  • a call button for each person with a phone number;
  • Safe and Missing on each person, for marshals: receptionists, guards, security leads, site admins, Admins and Owners.

Marks work with no signal: the app keeps them, shows them at once and sends them when it's back online. The list itself is on the phone, and so are the phone numbers, so the call buttons work without data. The numbers stay only while the roll call runs and are removed when it ends.

If you run roll calls, End the roll call (or End the drill) closes it once everyone is accounted for, or the emergency services take over. The final list is kept, and people who run roll calls see it in the Console. Receptionists and guards can't end a roll call.

Manage: your organisation on the move

Manage is for looking after your organisation away from a computer. Its tab appears when your role allows at least one part of it, and each part follows the same permissions as the Console: Owners and Admins see them all, and other roles see the parts theirs allows. Setting things up (sites, forms, branding) stays in the Console.

The tab opens on a tile for each part, with a line about it ("2 of 3 online", "412 scans in 30 days") and a red count when something needs you, such as a device that's offline. On an iPad, the parts are a list beside the one you have open.

People

The directory, with Active, Invited and Removed, and a search by name, email or phone. Tap someone to see how to reach them (Call, WhatsApp, Email), where they work, whether they receive visitors and are on attendance, and how they sign in: their role, where, when they last signed in and whether two-step verification is on.

If you manage people, you can also:

  • Add someone to the directory, and invite them to sign in with a role and sites;
  • Change role or sites, which applies at once and emails them, as in the Console;
  • Remove access (they stay in the directory) or give it back;
  • resend or withdraw an invitation;
  • Remove from the directory.

The same rules as the Console apply: what you can't change there, you can't change here.

Devices

Every kiosk, guard phone and clock-in device, with how many are online, offline (not seen for 15 minutes) or low on battery (20% or less, unplugged). Tap one for its health (last seen, last synced, battery, network and app version) and to rename it, switch it between Kiosk, Guard mode and Clock-in, choose its entrance and, for a kiosk, its welcome buttons. Devices pick up a change within a minute when they're online.

To pair a new device, tap +, choose what it does and where, and tap Get the pairing code. Your phone shows the QR code and the code, with a countdown: in the Kiosk app, tap Scan the pairing code and point it at your phone (see Pair a kiosk). Unpair frees its place on your plan and wipes it the next time it connects.

Reports

Visitors at your sites over the last 7 days, 30 days or 90 days, for all sites or one: visits (and the change on the period before), visitors (walked in or invited), no-shows and the typical stay; visits by day, the busiest times, and the visits by site, by visitor type and by host. Share sends the report as a PDF, an Excel spreadsheet or a CSV. If you manage settings, your scheduled reports are listed with a switch to turn each on or off.

QR codes

Your organisation's codes with their scans over the last 30 days: All, Mine, Tracked and To approve. Tap a code for its scans (how many, how many people, all time, by day), what it points to and who made it, and to:

  • share it, or share its image to print or send;
  • Change where it goes, for a tracked link: the printed code stays the same;
  • Pause it, or turn it back on.

Quick switches

The few things worth changing from a phone, which apply straight away:

  • Self check-in from posters for each site: on, visitors scan the check-in poster and check themselves in on their own phone; off, the poster sends them to reception.
  • Kiosks: close a kiosk for now, with a note if you like ("Back at 2 pm"), and open it again; and its welcome buttons. A closed kiosk says Closed for now with your note and sends people to reception. Guard phones and clock-in devices aren't closed this way.

Reviews

Your organisation's page on Agoo Reviews, for whoever can see it in the Console's Feedback → Public reviews (Owners, Admins, site admins and auditors). The tile says your score and how many reviews wait for a reply ("4.3 · 2 waiting for a reply"), with a count for whoever can reply.

  • Your page: the score, drawn as a ring, with how many reviews it's made from, the spread of stars and how many came in the last 30 days. Share sends your page's address. When Agoo Reviews has paused new reviews during unusual activity, a note says until when; your reviews and score don't change.
  • All, Waiting and Low: the latest reviews, newest first, each with its stars, the reviewer's public name, the branch and where it stands (Waiting for a reply, Replied, Reply being checked by a moderator, Reply removed, Flagged). Pull down to refresh; Show older reviews goes further back.
  • A review shows everything readers see, with its label (such as Verified visit), when the visit was and your reply in its own panel. Reply (or Change your reply) opens the box with the review above it: up to 3,000 characters, with the same guidelines as the Console. At places that get extra care, a moderator reads replies before they appear, and the app says so. Flag for a moderator asks for one of the published reasons and what a moderator should look at (10 to 2,000 characters). A flag never hides a review.
  • Site admins answer the reviews at their own sites' branches; for the others, the review says who answers them. A reply a moderator removed can't be changed.

Replying and flagging are free on every plan, need a connection, and are in your organisation's audit trail, as from the Console. Nothing here changes your score or the order of reviews.

Billing

Your plan and when it renews, what's used of it this month (visitors, sites, devices, SMS and WhatsApp), your wallet and your invoices, for whoever can see billing. It's read only: nothing here charges you or changes the plan. If your organisation pays only by invoice, it says Invoice only: your organisation is invoiced directly by Nkonso, and the invoices come to your Owners by email. A complimentary period from Agoo shows when it ends.

Activity

The audit trail, newest first, in the same words as the Console's: who did what, where and when. Choose Visits, People, Access, Devices and more, search by who did it, and tap Show older to go back. It shows how long your organisation keeps it ("Kept since 9 Oct 2025").

Working offline

The app keeps your part of Agoo on the phone, so it opens and shows your day in a network or power cut, and it stays up to date by itself while you're online. It keeps:

  • your organisation, your sites and your own details;
  • your visitors and bookings that are still to come or in progress: the visits you lead, the ones you're on and the ones your team has, with who each is for;
  • parcels waiting for you and your teams, with their collection codes;
  • your attendance settings, shifts, your organisation's leave types and your own leave requests, your shifts on the roster for this month and next, your clock-ins a month at a time, and whether you have a kiosk PIN and which phones have your badge (never the PIN itself);
  • for receptionists, security leads, guards, site admins, Admins and Owners, the visits in play at the sites you work at (only the ones your role covers, if it's limited to particular sites), who each is for and which need someone, who's clocked in there, the parcels waiting there (never their collection codes), and any roll call running, with the phone numbers of the people in it until it ends.

With no signal, you can still clock in, show your badge, see your parcels' codes, approve or decline visits, check visitors in and out at the Desk, log parcels and hand them over, and mark people safe or missing in a roll call: the app sends them when it's back online. Inviting a visitor, registering a walk-in, scanning a pass, answering Will you see them?, asking someone about a waiting visitor, writing down an answer, taking, handing over or booking in a visitor who needs someone, deciding a hold, sending an emergency alert, answering a booking, setting a PIN, saving your hours, asking for or cancelling leave, deciding leave, swaps and claims and naming a deputy, claiming an open shift, offering, taking or refusing a shift, past visitors and bookings, and everything in Manage need a connection. Your leave balances, open shifts and offers, and the Team tab show what the phone last had, with when it was updated.

The first time you sign in, Home shows Getting your day ready while it brings this to the phone. Offline, the pill says so, and the app shows what the phone last had; it catches up as soon as Agoo can be reached.

What the app keeps is in your phone's encrypted storage, only on this phone, and isn't included in backups. It's deleted when you sign out.

Two-step verification comes first

If your account needs two-step verification, nothing comes to the phone until you've entered your authenticator code. A password alone is never enough to take your organisation's data offline.

Account

Your organisations

If you belong to more than one organisation, Organisations lists them. Tap one and Switch: the app brings that organisation's day to the phone and removes the other's.

Appearance

Choose Light, Dark or Same as this phone. Agoo keeps your choice with your account, so the Console looks the same.

Security

See whether two-step verification is on for you, and what opens the app on this phone (Face ID, Touch ID or your passcode). Where you're signed in lists every browser and phone signed in to your account, how each signed in (a password, an email code, Google or Microsoft), roughly where and when each was last used: swipe one to sign it out, or sign out everywhere else. When your organisation allows Google or Microsoft sign-in, Sign-in methods shows your ways in (your password, an email code, your authenticator and each Google or Microsoft account) and lets you Add Google, Add Microsoft or remove one, after you confirm it's you with your authenticator's code or a code Agoo emails you. Password and authenticators opens Sign-in and security in the Console.

Notifications

Whether notifications are on for this phone, and Account → Notifications: how each alert reaches you, quiet hours, your phones and a test notification (see Notifications).

What's new

News from Agoo, the same as the Console's announcements. Tap Mark all as read when you've seen them.

Help

  • Send feedback to Agoo. Choose one of five faces, which part of Agoo it's about, and tell us more if you like. Both boxes, "Agoo may contact me about this" and "Agoo may ask to quote me", start unticked. Only Agoo's team reads it, never your organisation. See Feedback to Agoo.
  • Guides opens these guides.
  • Open the Console opens the Console in your browser.

On this phone

When the app last synced, how many things are waiting to send, and whether it's online.

Sign out

Tap Sign out in Account (or on the lock screen) and confirm. Agoo signs this phone out, stops its notifications, removes your badge from it and deletes everything it kept here. You can sign in again at any time.

If your phone is lost or stolen, sign it out from the Console (Account → Sign-in and security → Where you're signed in), or ask an Owner or Admin to sign you out everywhere. It stops working at once: the next time the app reaches Agoo, it signs out and deletes what it kept, and without your Face ID, Touch ID or passcode nobody can open it in the meantime.

On Android

Agoo Workspace on Android has the same tabs, the same screens and the same rules as on iPhone and iPad, and works offline in the same way. A few things follow Android's own ways:

  • Unlocking. The app opens with your fingerprint, face unlock or your screen lock (PIN, pattern or password). Set a screen lock in your phone's Settings → Security: without one, the app can't lock.
  • Turning notifications on. On Android 13 and later your phone asks once, after the app has said what you'd get. If you chose Don't allow, the app's card takes you to your phone's settings to turn them on. If you turn Agoo's notifications off in your phone's settings, Agoo stops trying the app and goes straight to your next way (WhatsApp, SMS or email).
  • Buttons on a notification. Pull the notification down to see its buttons. Android shows three at most, so "Ama Owusu is here" offers I'm coming, Wait 5 min and Wait 15 min; open the visit to choose another wait.
  • Kinds of notification. Your phone's settings list Agoo's notifications by kind (Emergencies, Waiting for your answer, Security, WhatsApp messages, Shift reminders and Updates), and you can choose a sound for each or silence one. Account → Notifications in the app has a row that opens them.
  • Emergencies and Do Not Disturb. A roll call comes on its own Emergencies kind, as loud as Android lets an app be, and shows in full on a locked phone. Android doesn't let an app break through Do Not Disturb by itself: to let roll calls sound then, open Agoo's Emergencies kind in your phone's notification settings and turn on Override Do Not Disturb.
  • A locked phone. If your phone hides sensitive notifications on the lock screen, Agoo's say "Open Agoo to see it" until you unlock, except an emergency.
  • Location. When the app first checks where you are, choose While using the app, with Precise chosen.
  • Tablets. On a tablet on its side, a list and what you open from it sit side by side, including your WhatsApp conversations and the one you're answering.
  • WhatsApp replies. A reply or a note you haven't sent is kept on your phone for seven days, so a call or a visitor at the desk doesn't lose it. Under the reply box, the app shows what a reply counts as before you send it (1 WhatsApp message, GH₵0.09; a follow-up, 5). On the Free plan you can read your visitors' conversations, and Agoo's team answers them. See WhatsApp replies.
  • Signing in with Google or Microsoft. Google's or Microsoft's page opens in a Custom Tab over the app (or your browser, if your phone has no browser that offers them), and you come back to Agoo when you've signed in. If you see a page saying Back to Agoo Workspace instead, tap Open Agoo Workspace.
  • Buttons where iPhone swipes. A range of hours and a sign-in each have their own button to remove it or sign it out, and Pair a device is a button with its words, not +.

What's coming to the app

These are planned for the Workspace app, in this order:

  • More for Admins and Owners on the move: staff badges, cards (linked by tapping the card on an iPhone) and PINs for your people, visitor history and the watchlist.
  • More for roll calls, with the rest of roll call: marshals and muster points for each site, and the roll call's report.

They come to iPhone, iPad and Android alike.
